The Current state analysis provides a clear picture of current assets, their purchase price, life expectancy, and utilization. In addition provides a framework for continuous documentation of assets, lifecycle costs, systems information, and outstanding issues. The goal of this analysis is to provide documentation for any changes in technology management as well as develop an annual operating cost budget and at a glance state of technology for gap analysis with future goals.
Inventory – Currently we use a software database called Spice works to maintain our inventory database. So far this has proved to be very easy to use and efficient. However, most of our inventory records need to be updated with the purchase dates and prices on all of our equipment. Also, a lot of non-network items need to be asset tagged and logged into the database. Such items include: Camera’s, Doc Cams, Smart Boards, telephones and more. There is also no system for adding new equipment to our inventory database. As far as software inventory we have no system for auditing our software licenses. Any license documentation that we might have lives in a folder that hasn’t been looked at in two years. The remainder of our license information is most likely in the church office. Lastly, there is no system for removing equipment from inventory, and a plan of what to do with it once it has reached the end of its lifecycle.
Documentation – Currently there is no real structure for technology documentation. We have an excel sheet with usernames & passwords stored in a secure folder on the network. In addition there is a binder full of all the software we have on the premises. Also there is a large file folder full of miscellaneous information but nothing that provides a clear picture of our site. In addition to not having any documentation there is no verification process to insure that continued documentation is taking place.
Teacher Education – Educating teachers happens on an On-Demand basis when we implement new software. Many teachers do not know how to use very basic computer operating concepts. This leads to lost data and lost productivity.

Current Hardware Issues – Below is a list of all major current hardware issues.
1) The switch in 6th grade is having issues with ports failing, and the patch cables are beginning to fail.
2) There are multiple of the “white-box” computers where the onboard network card is failing. In some instances this has rendered the network 100% unavailable, and in the other computers left access flaky.
3) Junction boxes and wiring in classrooms are problematic because they are at the same height as kid’s feet. Because of this there tends to be connection issues that arise.
4) Alphasmarts are not set up to integrate with Accelerated Reader.
Current Software Issues – Below is a list of all major current software issues.
1) Some computers do not have the latest updates of, Adobe Reader, Flash, Java, and XP Patches. This is an ongoing issue with no system to fix it.
2) Accelerated Math has issues with printing in certain cases, most likely due to the issue above.
3) Licenses may be in overuse
4) Current operating systems & certain software programs are dramatically different in their setting which makes it difficult for kids to go from one computer to the other
